Purpose of this Privacy Policy 

This Privacy Policy provides information on how The FLIP collects and processes your data through your use of this website, through participation in our surveys or through any in-person interactions. This includes any data you may provide to us when you sign up to our newsletter, interact with The FLIP on social media, send us an email, take part in our surveys, buy tickets to events or make a donation.

We keep our Privacy Policy under regular review. This version was last updated on 14 January 2024. 

We may make changes to this Privacy Policy from time to time to time. We reserve the right to make any revised policy effective for data we already hold about you as well as any information that we receive in the future. If we make any material changes, we will notify our email subscribers. Your continued use of the website, or further interaction with The FLIP, following any changes to the Privacy Policy signifies your acceptance of those changes.

This website and any emails you receive from The FLIP may include links to third-party websites, plug-ins and applications. Clicking on those links or enabling those connections may allow third parties to collect or share data about you. We do not control these third-party websites and are not responsible for their privacy statements. When you leave our website, we encourage you to read the Privacy Policy of every website you visit.

What data do we collect about you? 

Personal data, or personal information, means any information about an individual from which that person can be identified. It does not include data where the identity has been removed (anonymous data).

We may collect, use, store and transfer different kinds of data about you which we have grouped together as follows: 

  • Identity Data includes first name, last name, username of similar identifier, marital status, title, date of birth and gender. It may also include information about your job title and place of work. 

  • Contact data includes billing address, delivery address, email address, social media details and telephone numbers.

  • Financial Data includes bank account and payment card details.

  • Transaction Data includes details about payments to and from you and other details of products and services you have purchased from us.

Third-party services and your data

We have a presence on social media sites including Twitter, Instagram, and LinkedIn. We will use any data you provide us (eg, if you contact us via Instagram) as laid out in this policy. We may receive aggregated data, as highlighted above, from social media sites on user interaction with our pages.

Sensitive data 

If you choose to answer the demographic questions in our survey, you may be providing us with special category data, which requires a greater level of protection because it is sensitive. 

Providing this information is entirely optional, and you do so freely. By answering these questions, you are giving The FLIP as a non-profit company, explicit consent to process this data. 

This information is always anonymised and used solely for statistical and research purposes. This data will never be shared with anyone else, or used for any other purpose.

Keeping your data safe

We promise we’ll do all we can to keep your data safe. We will store your data securely, encrypt it when we share it, and only hold it for as long as we need to. In addition, we limit access to your data to those employees, agents, contractors and other third parties who have a clear need to know. They will only process your data on our instructions and they are subject to a duty of confidentiality.

We will not share your data with any sponsors or partners without your explicit consent. 

How and why we would share your details

We will never sell your information to anyone, and we will only share it with a partner organisation if you’ve given us explicit permission to do so. 

When we have to share your details

So that we can meet our obligations to you, such as sending you a competition prize, we will pass your details onto our suppliers as we need to. This allows them to meet your requests, and that they can get in touch if you need assistance.

Some of these suppliers will be outside the UK but we try our best to work with suppliers outside the UK who work to the same data standards we do.

In addition to the above, we may also share your data with the following third parties in the following circumstances:

We do not allow our third-party service providers to use your data for their own purposes and only permit them to process your data for specified purposes and in accordance with our instructions.

International transfers

As outlined below, some of our suppliers are based outside the UK so their processing of your data will involve a transfer of data outside the UK. We will only transfer your data to countries that have been deemed to provide an adequate level of protection to your data to the standards of the UK GDPR.

How long will you use my data for?

We will only retain your data for as long as necessary to fulfil the purposes we collected it for, including for the purposes of satisfying any legal, regulatory, tax, accounting, or reporting requirements. We may retain your data for a longer period in the event of a complaint or if we reasonably believe there is a prospect of litigation in respect to our relationship with you.

To determine the appropriate retention period for data, we consider the amount, nature, and sensitivity of the data, the potential risk of harm from unauthorised use or disclosure of your data, the purposes for which we process your data and whether we can achieve those purposes through other means, and the applicable legal, regulatory, tax, accounting or other requirements.

By law we must keep basic information about our customers (including Contact, Identity, Financial and Transaction Data) for six years after they cease being customers for tax purposes.

No fee usually required

We may need to request specific information from you to help us confirm your identity and ensure your right to access your data (or to exercise any of your other rights). This is a security measure to ensure that data is not disclosed to any person who has no right to receive it. We may also contact you to ask you for further information in relation to your request to speed up our response.

Time limit to respond

We try to respond to all legitimate requests within three months. Occasionally it may take us longer than a month if your request is particularly complex or you have made a number of requests. In this case, we will notify you and keep you updated.
